The Annual Renewal form is now available in the Renewal tab in the Registrant Portal. The Renewal deadline is 11:59 PM (MT) on October 31, 2024.

Annual Renewal Checklist

The Renewal form cannot be saved and must be completed in one sitting. This means that your information in the Registrant Portal must be complete and correct BEFORE you begin the Renewal form.

Get ready for Renewal by using the checklist on the right. Review all your information in the Registrant Portal and make any edits or updates before starting the Renewal form.

If you registered with the ACDH after November 1, 2023, this will be your first Renewal period. Per section 12 of the ACDH Bylaws, practice permits are valid from November 1 to October 31 annually unless otherwise noted on the permit.

Registrants must submit a complete application for a practice permit by October 31 each year, regardless of when their name was entered onto the General Register. The College cannot extend or waive the renewal requirement.

Ensure you are familiar with the requirements of the Registration and Practice Permit Renewal Policy as mentioned above.

CPR

Registrants are required to complete and maintain CPR certification intended for health care providers (e.g., Basic Life Support BLS or Health Care Provider HCP level).

Although the policy allows for a lapse in CPR certification of no more than 30 days, your CPR certification must be current (i.e., issued within the past 12 months) at the time you submit your application for Renewal.

If you need to add a new CPR entry prior to submitting your application for Renewal, you can do so by using the “CPR Certification” link in the links table on the right side of any page in the Portal.

Your CPR certificate should include the following information:

  • Your name
  • Name of issuing organization
  • Name of course completed
  • Issue or completion date of certification
  • Expiration date of certification
  • Signature of authorized CPR instructor, if applicable.

Professional Liability Insurance (PLI)

Registrants must provide the College with one or more insurance certificates demonstrating that their PLI policy period (e.g., effective date and expiry date) covers the entirety of the permit year they are applying for. For 2024-2025 permit renewal, you must demonstrate that your PLI policy covers the period of November 1, 2024 to October 31, 2025. PLI policies that extend beyond the dates of the permit year will be accepted, so long as there is no gap in coverage during the permit year. The PLI policy must meet the minimum requirements outlined in the policy.

Receipts and membership cards are not acceptable proof of coverage. Ensure you have the insurance certificate before starting your Renewal application.

Please note that your PLI can be uploaded to the Registrant Portal closer to the start of the Renewal period. Do not email or fax your PLI policy to the College.

Practice Hours

Per the Policy, registrants on the General register must obtain 600 practice hours in their three-year reporting period. Your reporting period will not begin until November 1, 2024, but you will still be required to enter practice hours into the Renewal form for the current permit year of November 1, 2023 to October 31, 2024. If you registered after November 1, 2023, enter your practice hours from your date of registration until October 31, 2024.

How to Calculate Your Practice Hours

Estimate the total number of hours you expect to work between November 1, 2023 and October 31, 2024. This number will be the sum of the number of hours you have already worked in the current permit year and an estimation of the number of hours you expect to work between the date of submitting your Renewal application and October 31.

Reporting Period and Continuing Competence Credits

As a new registrant, it is important for you to know your reporting period. Your reporting period will be listed in the Continuing Competence tab of the Registrant Portal. You must obtain a minimum of 45 Continuing Education (CE) Credits within your three-year reporting period.

If you registered with the College after November 1, 2023, your reporting period runs from November 1, 2024, to October 31, 2027. Confirm your reporting period by checking the Continuing Competence tab in the Registrant Portal

Any learning activities taken before your reporting period begins will not be eligible for credit. You will not be required to report any CE credits in the Renewal form this year. However, the College encourages you to pursue ongoing learning before your reporting period begins.

Registrants are required to keep their own copy of the supporting documentation for their CE credits for 4 years after the activity has been completed.

The ACDH will no longer have a non-practicing register as of November 1, 2024. Based on a careful review of relevant legislation following the implementation of Bill 46, ACDH Council determined that the Non-Practicing Register does not make a clear contribution to public protection, nor does it provide advantages for applicants transferring back onto the General Register compared to applicants reinstating back onto the General Register.

Registrants who are currently on the non-practicing register have the following options:

1. Transfer to the General Register to obtain your practice permit ON November 1, 2024, for the 2024-2025 permit year. This is the last day that registrants can transfer onto the General Register.

  • We recommend submitting your transfer application by August 31, 2024.
  • The deadline to to have your complete application approved to transfer the General Register for the 2024 - 2025 permit year is October 31, 2024.

2. Cancel your registration. You can cancel at any time by filling out the "Cancel My Registration" form in the Links table in the Registrant Portal.

Registration and Practice Permit Renewal Policy

The Registration and Practice Permit Renewal Policy consolidates four existing College policies into one larger policy comprised of four requirements that are part of a complete application for registration or renewal. The four requirements outlined in the Policy are:

  • Vulnerable Sector Check (VSC)
  • Practice Hours
  • Cardiopulmonary Resuscitation (CPR)
  • Professional Liability Insurance (PLI)

Ensure that you are aware of all renewal requirements for registrants on the General Register. Read the full policy linked above for details of all requirements. More information about the vulnerable sector check requirement is below.

Vulnerable Sector Check

All registrants are required to obtain and submit a Vulnerable Sector Check (VSC) to the College every three years, in the final year of their reporting period. Criminal Record Checks will not be accepted.

Registrants with a 2021 - 2024 reporting period are required to obtain and submit a VSC document to the College by the Renewal deadline of October 31, 2024. The VSC document must have been issued between November 1, 2023 and October 31, 2024 (the final year of your reporting period).

The College encourages you to submit your Renewal form during the Renewal period, even if you have not submitted your VSC yet. Your Renewal form will still be reviewed and approved by staff as usual, regardless of your VSC status.

Registrants in other reporting periods will be required to obtain and submit a VSC document in subsequent years.

The College encourages registrants with a 2021 - 2024 reporting period to obtain their Vulnerable Sector Check as soon as possible. It may take weeks or months to receive your VSC after requesting it from your local police service.

The VSC must be submitted in the Registrant Portal. Please do not email, mail, or fax your VSC to the College. The College anticipates that the online form to submit a VSC document will be ready by the end of February. It is recommended that you submit your VSC document to the College prior to the start of the renewal period.

Your Vulnerable Sector Check must be:

  • Issued within Canada
  • Clear and legible
  • Not password-protected

If you have a 2021 - 2024 reporting period, you must obtain and submit your Vulnerable Sector Check (VSC) to the College by October 31, 2024. We encourage you to obtain and submit your VSC as soon as possible to ensure it can be processed by the Renewal deadline.

Go to the VSC tab in the Registrant Portal:

  • If you are in the final year of your reporting period and therefore required to submit a VSC this year, you will see the green status bar and a box that reads, "You are required to submit a Vulnerable Sector Check" in the VSC tab.
  • If you are not in the final year of your reporting period, you will see a yellow box that reads, "You are not required to submit a Vulnerable Sector Check at this time," in the VSC tab.

To submit your VSC, click the "Vulnerable Sector Check" link at the bottom of the Links table on the right-hand side of any page in the Portal.

If your local police service or RCMP detachment requires a letter in order to complete a VSC, please provide them with this document: ACDH Vulnerable Sector Check Letter. This letter has been updated as of June 2024.
